CAPOW Booking, Cancellation and Waiver policy

Booking & Payment Terms

  • A 20% non-refundable deposit is required at the time of booking to secure your spot.

  • The remaining balance is due 90 days prior to the start of your trip. If payment is not received by this deadline, CAPOW Guiding Inc. reserves the right to cancel the booking and retain all funds paid to date.

  • Guests have a two-week priority window after their trip to rebook for the following season by submitting a deposit. After this window, availability opens to other groups.

  • If a group books the entire lodge but fails to meet the minimum occupancy of 12 guests, the cost of unfilled spots will be added to the trip leader’s invoice.

Waiver

 

All participants must:

  • Review the CAPOW Waiver, which outlines the activities, associated risks, and release of liability.

  • Ensure they understand and accept these terms before making any payment.

  • Sign the waiver in person before participating in any activities.

Cancellation & Refund Policy

 

Guest-Initiated Cancellations

 

  • Cancellations made 90 days or more before the trip start date:

    • You may receive a refund of any payments made, excluding the non-refundable deposit; or

    • Choose to apply the amount as a credit toward a future booking.

  • Cancellations within 90 days of the trip start date:

    • You are encouraged to find a replacement guest to take your spot (subject to CAPOW and/or group approval).

    • If no replacement is found and you wish to transfer to a new date (subject to availability within the same operational season), a $300 rebooking fee applies.

Operator-Initiated Changes or Cancellations

 

  • If CAPOW Guiding Inc. is unable to operate a program due to events beyond our control (e.g., natural disasters, pandemics, border closures, travel bans, etc.), guests will receive a refund minus the non-refundable deposit.

  • If CAPOW staff are unable to guide due to illness or injury, we will make reasonable efforts to find a qualified replacement. If a replacement cannot be found:

    • A full refund, or

    • A 100% booking credit toward a future CAPOW trip within the same season will be offered.

General Terms & Conditions

  • Participation in any program is at the sole discretion of CAPOW Guiding Inc. and its trip leaders.

  • CAPOW reserves the right to cancel any reservation at any time. In such cases, booking credits may be offered at CAPOW’s discretion.

  • Medical clearance is required for any health condition that may affect participation. All participants must disclose relevant medical conditions that could impact their own safety or that of others.

  • CAPOW does not provide refunds for:

    • Weather conditions or snow stability issues

    • Personal or family emergencies

    • Border crossing problems

    • Illness or injury

    • Travle delays and disruptions

 

  • CAPOW is not liable for travel disruptions, inconvenience, or associated expenses.

  • CAPOW Guiding Inc. accepts no responsibility for the actions or omissions of third-party providers, nor for any costs arising from delays, complications, or changes during a trip.

Trip Insurance
